Reference and Instruction Librarian/Government Publications Specialist.
The Libraries of The Claremont Colleges

The Libraries of The Claremont Colleges seek a Reference & Instruction Librarian/Government Publications Specialist with a strong customer service orientation and excellent public service skills. Provides general and specialized reference and instruction services with an emphasis on Government Resources and takes the lead in making government information resources, in all formats, available to the Libraries' users through special and general reference services. This position has responsibility for monitoring closely trends in the Federal Government toward accelerating the dissemination of information in electronic format. Contributes to overall library management by participating on teams and other groups as appropriate. This is a nine-month, full-time (40 hours per week), exempt position. It reports to the Government Publications Coordinator.

Required qualifications: Professional library school degree from a program accredited by the American Library Association. MLS or MLIS required for appointment to a rank in the Librarian Series. Knowledge of print and electronic reference sources with emphasis on humanities and social sciences; excellent oral and written communication skills, including good teaching and presentation skills; ability to develop Web-based and print research and instructional guides. Ability to establish and maintain cooperative working relationships, including with faculty and to work effectively in teams. Ability to be flexible and to adapt in a rapidly changing environment and to prioritize tasks as necessary in response to the needs of patrons and colleagues and to work effectively in teams. Must demonstrate knowledge of technology and its application to library services. Demonstrated commitment to academic librarianship with a strong commitment to quality public service programs. Desirable: Recent experience providing reference service; experience with government information; undergraduate or graduate degree in social sciences or humanities with relevant advanced degree.

Minimum salary: $3,500 per month. Salary offered and appointment to a rank in the Librarian Series are commensurate with education and experience. Mail Center Coordinator
Library Assistant II
Libraries of The Claremont Colleges

Summary of Position: Under general supervision direct and perform operations and services of the Libraries' Mail Center and ensure that the Center provides a high level of customer service. Coordinate Mail Center operations with those of USPS, outside delivery services and other Libraries functions and activities. Serve as backup to Coordinator for Building Services.

Position Type and Compensation: This is a full-time (37.5 hours a week), nonexempt, benefits-eligible position. Minimum salary is $975.38 biweekly.

Essential Functions:

  1. Ensure the efficient and timely collection, distribution, and shipment of mail
  2. Process incoming and outgoing mail according to established guidelines
    1. Operate mail processing equipment applying established procedures for efficient use and safety
    2. Sort incoming and outgoing mail; conduct metering of outgoing mail
    3. Weigh packages to compute postage and UPS rates
    4. Seal, stamp, label, and affix postage to outgoing mail and packages
    5. Load and unload mail sacks
    6. Inspect envelopes, boxes and other parcels to determine that they are in satisfactory condition for mailing and shipping
  3. Supervise part-time temporary Mail Center assistants; prepare work schedules; determine priorities; issue written and oral instructions; train staff to operate the electronic postage meter, to sort and deliver mail, and to conduct good telephone etiquette and communication
  4. Update and maintain training procedures manual for the Mail Center staff
  5. Prepare and/or maintain necessary logs, reports, receipts and other records and forms
  6. Provide prompt and accurate mail delivery service by conducting collections and deliveries on schedule. Involves using hand pushed book trucks to move mail and parcels throughout the building and using the library van and golf cart to travel to and from the campus libraries and other offices and facilities throughout The Claremont Colleges campuses
  7. Conduct special mailings, daily deliveries and collections and off-campus deliveries and collections as necessary. When security warrants, carry packages directly to the post office. Transport cash to Pendleton Business Building
  8. Maintain sufficient funding for postage meter and submit postage requests as needed
  9. Oversee maintenance contracts for Mail Center equipment. Ensure that mail equipment is maintained in good operating order by scheduling routine maintenance and ordering repairs when necessary
  10. Assist Libraries staff with claims for lost or damaged parcels
  11. Anticipate needs of the Mail Center and order and store mailing, shipping and storage supplies
  12. Maintain effective communication with USPS and commercial mail and shipping services
  13. Serve as backup to the Libraries' building Services unit by monitoring the parking and loading dock area to ensure appropriate use of the ramp entrance by vendors, Libraries staff, and other CUC and Colleges employees
  14. Prepare department payroll for part-time temporary employees. Review employee timesheets on schedule
  15. Direct the delivery and pick-up of part-time temporary payroll for the Libraries. Responsible for the pick-up of all checks for staff from the Office of Financial Services; distributes staff and student payroll checks to Library Administration and to Campus libraries
  16. Assist with preparation of operating and personnel budget for the Mail Center. Monitor budget and track postage expenditures
  17. Perform other essential related tasks specific to the position as assigned

Requirements:

High school diploma; Associate degree desirable. Two to three years of relevant work experience. Current California driver's license with driving record acceptable to the Claremont University Consortium insurance carrier. Preferred: Two or more years experience in shipping and receiving and at least one year of supervisory experience.

Skills, Knowledge and Abilities:

  1. Ability to safely and efficiently use mail processing equipment and machinery
  2. Knowledge of postal regulations and metering equipment
  3. Ability to safely and efficiently move mail and heavy parcels around the Mail Center and throughout the Libraries buildings
  4. Must be able to bend and stoop and to lift and handle parcels of up to 50 lbs.
  5. Ability to read and understand names and locations; high level of accuracy when sorting and distributing mail; ability to write legibly
  6. Ability to use email and word processing and spreadsheet software
  7. Ability to read and interpret operating and maintenance instructions and procedures manuals
  8. Ability to supervise and train a diverse staff and prioritize Mail Center activities
  9. Effective interpersonal and customer service skills and ability to maintain cooperative working relationships with Libraries staff, Colleges staff and outside agencies

Interlibrary Loan Assistant
Library Assistant III

Summary of Position: Assist with all activities directly associated with the acquisition (via interlibrary loan and document suppliers) of items not held by the Libraries of The Claremont Colleges for use by the students, faculty and staff of The Colleges; assist with the lending of materials to patrons at other institutions.

Position Type and Compensation: This is a half-time (20 hours a week), nonexempt, benefits-eligible position. Salary is $536.44 biweekly.

Essential Functions:

  1. Verify the lack of an item's availability in the libraries' collections.
  2. Identify an item record in the appropriate bibliographic database.
  3. Research to verify, complete and correctly identify items required.
  4. Request items electronically via (ORION, ingenta, OCLC) or manually (via ALA forms).
  5. Assist with the receipt and processing of materials requested by library patrons.
  6. Assist with the processing of materials requested by other libraries via Interlibrary Loan.
  7. Consult with patrons regarding problematic citations and items which cannot be supplied.
  8. Perform other job-related duties as assigned.

Non-Essential Functions:

  1. Attend meetings
  2. Represent Interlibrary Loan on library-wide committees

Requirements:

High school diploma. Some college-level courses preferred. One to two years of relevant work experience.

Skills, Knowledge and Abilities:

  • Computer literacy in Windows operating environments. Facility with multiple bibliographic tools, including electronic databases, indexes and reference materials, e.g., Blais, OCLC, ORION, MELVYL, RLIN, ingenta, FIRSTSEARCH, LEXIS-NEXIS, etc.
  • Ability to establish and maintain cooperative working relationships.
  • Ability to work effectively as a team member.

Special Collections Digital Projects Coordinator
Library Associate I

Summary of Position: Design, create, implement, and administer special collections digital projects (both collections and online exhibits) utilizing the Libraries' unique, rare, significant, and original materials that distinguish the Libraries' digital library. Works under the supervision of the Special Collections Librarian and in collaboration with staff of the Claremont Colleges Digital Library (CCDL). This position reports to the Special Collections Librarian.

Position Type and Compensation: This is a full-time (40 hours a week), exempt, benefits-eligible position. Minimum salary is $2,863.84 per month. Salary offered will be commensurate with education and experience.

Essential Functions:

  1. Manage scanning and cataloging activities for special collections digital projects, i.e., ensure compliance with established best practices of digitization, metadata creation, and preservation of both the original materials and the digital surrogate; maintain security of both digital and non-digital materials; and ensure that rights management are maintained.
  2. Identify, register, and track items and collections from the Libraries special collections that are outsourced for scanning and/or cataloging.
  3. Scan materials for special collections users as requested.
  4. Supervise and participate in the digitization and uploading of special collections materials into the CCDL.
  5. Collaborate with the CCDL and Library/Information Technology staff on a wide range of digitization and technical needs for the creation and maintenance of special collections digital projects;
  6. Redesign, maintain, and update the special collections web site as appropriate with attention to web standards, accessibility, and usability.
  7. Hire, train, and supervise staff, students, and interns for work on digital projects.
  8. Provide assistance in the Reading Room of Special Collections, Honnold/Mudd Library.
  9. Participate in appropriate Libraries and Claremont Colleges teams and committees.
  10. Perform related duties as assigned.

Requirements:

  • Bachelor's degree in an appropriate field.
  • Minimum two to three years relevant work experience with digital projects in a project management position, preferably in an academic library.

Preferred:

Demonstrated experience in using new technologies and applying them to library services and collections. Experience in managing complex projects; supervisory experience.

  2. Knowledge and experience designing innovative websites
  3. Extensive knowledge and experience with web standards (XHTML, etc.), accessibility, and usability issues. Ability to manage projects that address these concerns
  4. Extensive knowledge and experience with scanning, using both a flatbed scanner and a planetary camera/scanner and with issues such as: color profiles, image resolution, etc.
  5. Extensive knowledge and experience using Photoshop, or similar image editing software, for manipulating digitized materials for both digital archiving and for online presentation of digital surrogates. Ability to address issues such as: color correction, image resolution issues, security, etc.
  6. Knowledge of metadata and the ability to apply metadata standards to digital items
  7. A demonstrated interest in maintaining an awareness of innovations in digitization and digital preservation technologies
  8. Knowledge and experience with the design, development, and use of relational databases for storing a wide range of information regarding scanning including, but not limited to, the creation of metadata
  9. Ability to establish and maintain cooperative working relationships
  10. Public service experience; excellent interpersonal skills
